RETURN RESERVE ยท JAEBIRD SOFTWARE, LLC
Privacy Policy
Last updated: September 27, 2026
Jaebird Software, LLC ("we," "us," or "our") provides Return Reserve, a Shopify app that helps merchants offer prepaid return shipping and manage return requests. This policy explains how we handle information about merchants, their authorized users, customers, and people who contact us.
Our role
Merchants decide how to operate their return programs and are responsible for their own customer privacy notices and return policies. We process customer information on their behalf to provide Return Reserve. We also use business contact and operational information to manage our service, support, and security. This policy does not replace a merchant's or Shopify's privacy policy.
Information we process
- Store and account information: store identifiers and domain, store settings and currency, authorized Shopify user identifiers and contact details, authentication credentials and tokens, and app subscription status.
- Orders and returns: customer identifiers, names and email addresses; order identifiers, items, prices, reserve amounts, product tags, fulfillment information, shipping country, Shopify risk indicators, return reasons and notes, approval decisions, and return status. We access information through Shopify as needed for the app's functions.
- Merchant configuration: pricing and eligibility rules, managed product information, branding, email templates, and reply-to contact information.
- Communications and operational records: support correspondence, email delivery identifiers and status, error information, privacy requests, and records used to authorize access, prevent duplicate processing, and honor deletions. Our hosting providers may process IP addresses and request/device information when serving the app or this page.
Order and return records are primarily held in Shopify. Our email queue retains references and delivery status rather than customer email addresses or message bodies; recipient information is retrieved when preparing an email. Our email provider processes the recipient address and message content to deliver it. We do not collect payment card numbers through Return Reserve; Shopify handles checkout and app subscription billing.
How we use information
We use information to authenticate users, configure the return program, identify covered orders, apply merchant-selected return rules, process return requests, send transactional customer emails, provide support, maintain backups, troubleshoot problems, protect the service, and fulfill privacy or legal obligations. Return eligibility can be evaluated automatically using the merchant's settings; customers can contact the merchant to request review of a return decision.
Where applicable law requires a legal basis, our own processing relies on providing the service under our agreements, legitimate interests in operating and securing the service, legal obligations, or consent where required. Customer processing on behalf of merchants follows their instructions.
Who receives information
Information is shared as needed with the merchant operating the store and service providers supporting these functions:
- Shopify: store authentication, commerce records, app billing, and return workflows.
- Render: application hosting and database infrastructure.
- Postmark: transactional email delivery, including recipient addresses, message content, and delivery records. Return Reserve disables email open and link tracking in its sending requests.
- Google Workspace and Google Drive: business support communications and storage of encrypted backups and recovery records.
We may also disclose information when necessary to comply with law, respond to valid legal requests, or protect rights and security. If our business is transferred, relevant information may transfer subject to appropriate confidentiality and privacy protections. We do not sell personal information, share it for cross-context behavioral advertising, or use merchant customer information for our own advertising.
Cookies and tracking
Shopify and the app use authentication and functional technologies to provide store and customer-account features. Return Reserve does not add advertising pixels to merchant storefronts. This privacy page does not set cookies or load analytics or advertising scripts. Shopify, merchant stores, and other linked services have their own privacy practices.
Retention and deletion
We retain information for the service purposes described above, taking account of the merchant's installation, open returns, delivery troubleshooting, privacy requests, security, and applicable legal requirements. Uninstalling removes app access sessions and email configuration and cancels pending email work; it does not immediately erase every record from Shopify, email providers, or backups.
Shopify customer-data and store-deletion requests trigger our privacy workflow. Some requests require manual review, including provider records and uninstall/reinstall situations. Encrypted request and export contents are cleared when the corresponding case is completed. Limited receipts, access records, deletion-prevention identifiers, and encrypted recovery journals may remain to document actions and prevent deleted information from being reintroduced during recovery.
Automated database backups have a 30-day active-folder retention window. Older eligible backups are moved to Google Drive Trash after a successful backup and verification; permanent deletion follows the provider's trash lifecycle. Recovery journals are retained separately from that rotation. Information held by Shopify or email providers follows their applicable retention processes. Contact us for assistance with a specific retention or deletion request.
Security and international processing
We use access controls, authenticated requests, encrypted connections, and encryption for backup files and privacy-request contents. No service can guarantee absolute security. We operate in the United States, and our providers may process information in the United States or other countries. Where applicable law requires safeguards for international transfers, those safeguards must apply to the transfer.
Your choices and rights
Depending on where you live and the applicable law, you may have rights to access, correct, delete, or receive a copy of your personal information, restrict or object to processing, withdraw consent where processing relies on consent, or complain to a data protection authority. We do not discriminate against people for exercising applicable privacy rights.
Customers should first contact the store where they placed their order because the merchant controls its order and return records. You may also email us, and we will coordinate with the merchant as appropriate. Merchants can contact us directly. We may need to verify identity and authority before acting. If a request is denied, you may ask us to review that decision by replying with "Privacy appeal." Please do not send passwords or payment card details.
Children
Return Reserve is a business service and is not directed to children under 13. If you believe a child has provided personal information directly to us, contact us so we can investigate and address it.
Changes and contact
We may update this policy as the service or our practices change. We will update the date above and provide additional notice when required.
